Booking Terms

Last updated: 12 October 2026

These terms apply to every booking with Nomad Events Ltd: stag and hen weekends, group camping, activity days, corporate events, and tipi and bell tent hire.

“We” and “us” means Nomad Events Ltd (company number 08311906), Hagg Foot House, Burneside, Kendal, Cumbria LA8 9AB. “You” means the person who makes the booking, called the lead booker.

1. Your booking

  • Your contract is with Nomad Events Ltd.
  • The lead booker books on behalf of the whole group, is responsible for paying, and must make sure everyone in the group knows these terms.
  • We email these terms with your first invoice, and they’re also on our website. Your booking is confirmed when you pay that invoice, and paying it means you accept these terms.

2. Prices and payment

  • Prices are in UK pounds sterling. Once your booking is confirmed, we won’t change the price unless you change your booking.
  • If your booking needs a deposit, the amount is shown on your quote. The deposit is non-refundable, and it secures your dates and books your instructors and suppliers.
  • The balance is due at least 14 days before your event starts. If it isn’t paid on time, we may cancel your booking and keep the deposit.
  • Once you’ve paid in full, we hold the deposit as a damage and cleaning bond. We return it after your event, less any charges under section 5.

3. Changes by you

  • Ask us by email. We’ll try to make changes, but they depend on availability and may cost extra.
  • We can’t give refunds for changes made less than 21 days before your event starts, including if fewer people come.

4. Cancellation by you

  • Tell us by email.
  • The deposit is non-refundable.
  • If you cancel 21 days or more before your event starts, we’ll refund anything you’ve paid on top of the deposit, less any costs we’ve already paid to suppliers for your booking and can’t recover.
  • If you cancel less than 21 days before, the full booking cost is payable.
  • We recommend insurance that covers cancellation.

5. Looking after the tents and kit

  • Leave tents clean and tidy, in the state you found them, and take your rubbish away. If we have to clean or clear rubbish, we charge up to £100.
  • You pay for repairing or replacing anything damaged beyond normal wear and tear. If a damaged tent can’t be used for later bookings until it’s replaced, we may also charge for those lost bookings, up to £5,000.
  • We take these charges from your deposit, if you’ve paid one, and invoice anything over that.

6. Changes and cancellation by us

  • We’ll deliver what we’ve confirmed with you as closely as we can. Sometimes plans have to change, for example when weather or river levels make an activity unsafe, or a supplier lets us down. We’ll tell you as soon as we can.
  • If an activity can’t run safely, we’ll offer a suitable alternative. If there’s no alternative, we’ll refund that activity’s share of the price.
  • If we have to make a major change or cancel your booking, for any reason, you can choose a new date or a full refund of everything you’ve paid, including the deposit.
  • We’re not responsible for travel or other costs you arrange separately, except where the law says we must be.

7. Safety and behaviour

  • Outdoor activities and camping carry risks that can’t be removed completely, including water, rough ground, weather and physical effort. Everyone who takes part chooses to do so knowing this.
  • Participants need a level of fitness that suits the activities booked, and must bring the kit on the list we send before your event.
  • Everyone must follow the instructions of our staff and instructors.
  • Nobody may take part in an activity under the influence of alcohol or drugs. Our staff and instructors can refuse or remove anyone they think is unsafe or seriously disruptive, and that person won’t get a refund.
  • If someone’s behaviour puts people at risk, seriously disrupts others or damages the site, we may end the booking for that person or the whole group, without a refund.
  • If someone leaves an activity or goes off on their own against our instructors’ advice, we’re not responsible for them while they’re away from the group.

8. Health and medical information

  • Before your event, tell us about any health condition, medication or allergy that could affect someone’s safety. We share it only with the staff and instructors who need it, as our Privacy Policy explains.
  • If someone can’t take part for health reasons, we can’t refund their place.

9. Insurance

  • We recommend everyone has personal insurance covering cancellation, personal accident and their belongings.

10. Our responsibility to you

  • We’ll provide our services with reasonable care and skill.
  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for anything else the law doesn’t allow us to limit.
  • We’re not responsible for loss of or damage to your belongings, unless it’s caused by our negligence.
  • We’re not responsible for delays or failures caused by events outside our control, such as extreme weather, flooding or road closures. If one stops your event going ahead, section 6 applies.

11. Complaints

  • If something isn’t right, tell a member of staff straight away so we can fix it while you’re here.
  • If it isn’t sorted, email info@nomadevents.co.uk within 7 days of your event ending and we’ll respond promptly. This doesn’t affect your legal rights.

12. Your information

  • We use your personal information, and information about your group, to run your booking. Our Privacy Policy explains how.

13. Law

  • These terms are governed by the law of England and Wales. Either of us can bring a claim in the courts of England and Wales. If you live in Scotland or Northern Ireland, you can also bring a claim there.
