What we collect
When you enquire through our website form, by email or by phone: your name, company name (if you give one), email address, phone number, group size, preferred dates, the type of event and activities you’re interested in, how you found us, and anything you write in your message.
When you book: the lead booker’s contact details, the details of your booking, and records of payments made. We don’t see or store your card details.
To run activities safely: the names of the people in your group, and any medical or health information you choose to tell us that our instructors need to know.
When you use our website:
- Google reCAPTCHA protects our contact form from spam. It processes technical information such as your IP address and how you interact with the page.
- Our video is hosted on Vimeo. If you play it, Vimeo receives technical information such as your IP address so it can stream the film. We’ve set the player not to track you or set tracking cookies.
- With your consent only, Google Analytics measures how visitors use our site, and Google Ads measures whether our adverts work. You choose whether to allow these in our cookie banner, and you can change your mind at any time with the “Manage consent” tab or on our Cookie Policy page, which also lists the cookies we use.
Reviews: if you leave us a public review on Google, we may quote it on our website with your first name and the month.

Who we share it with
We never sell your information. We share only what’s needed, with:
- The instructors and suppliers we book for your weekend, such as activity providers and caterers, so they can deliver what you’ve booked.
- Service providers that store or process information for us: Google (email, calendar and booking records), Apple (calendar), QuickFile (invoicing and accounts), our website host, and our accountant.
- Google, for reCAPTCHA spam protection and, if you consent, Analytics and Ads.
- Vimeo, if you play our video.
- Authorities, where the law requires it.
Information stored outside the UK
Some of our service providers, such as Google and Vimeo, may process information outside the UK. Where they do, they use safeguards approved under UK law, such as the UK–US Data Bridge or standard contractual clauses.
How long we keep it
- Enquiries that don’t become bookings: 2 years, then deleted.
- Bookings and payment records: 6 years, as required for company accounts and tax.
- Health information: deleted within 3 months of your event, unless we need it in connection with an incident.
- Website analytics: up to 14 months, then deleted automatically by Google Analytics.

You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct it, or delete it
- ask us to limit how we use it, or object to how we use it
- ask for your information in a format you can take elsewhere
